Preparing the room for a file review

The quality of an application audit is decided before we open the first folder: by what is gathered, who can speak to it, and how the sample is agreed.

We work from our desk on Jalan Batu 3 or from a meeting room you provide. Either way, the review goes faster when the applications are complete as files, not as a promise that ‘everything is in email’.

Bring the instruction or policy that governed the applications, the applications themselves, and the log of what arrived. If evaluations were done, bring the sheets and the minutes. If someone in the team remembers a clarification call, write the date down; memory is not a document.

Agree the sample before the first morning. A random draw from a named period is cleaner than handing us the three files you are proud of. If the review is of a single tender pack before submission, the whole pack is the sample — including the USB or portal printout, not only the spiral-bound original.

Have one person who can fetch missing pages the same day. An audit that waits a week for a bank letter is still an audit, but it is a slower one, and the findings list grows in the waiting.
