Fees, cancellation, and refunds
Query Signal Core charges for time spent reading procurement application files. There is no shop, no delivery of goods, and no card checkout on this website. This page is the refund rule for engagements booked with us at 6, Jalan Batu 3, Klang, Selangor 41300, Malaysia.
What can be refunded
Prepaid desk-day fees and deposits are refundable in full if you cancel in writing more than five clear working days before the first agreed desk day, and we have not yet opened the papers. “Working days” means Monday to Friday, excluding Malaysian public holidays in Selangor.
Partial refunds
If you cancel with five working days or fewer remaining, we retain a deposit equal to one desk day (or the quoted deposit, if higher) to cover the reserved table and the reading already done to prepare the sample. Any balance already paid for days not started is returned.
If a review has started — contents lists begun, pages marked, or a site visit commenced — fees for time already used are not refundable. Unused remaining days are refunded minus the one-day deposit, unless you ask us to apply them to a later date we can actually offer.
Non-refundable items
The following are not refunded once incurred: travel we have already paid to reach a file that cannot leave your premises; copies, binding, or courier charges you asked us to arrange; and time spent waiting on site because the applications were not produced. We do not charge for ordinary travel between our Klang desk and a room inside Klang town unless the engagement note says otherwise.
Rescheduling
You may move a desk day once, if you write at least three working days ahead and we have a free day within thirty days. A second move, or a move with less notice, is treated as a cancellation of that day under the partial-refund rule. We may offer a later day without extra fee when the delay is ours.
No-shows
If nobody is present to open the room or the pack at the agreed time, and we have not heard from you, that desk day is charged in full. Telephone +60 3-33425892 if you are delayed; a same-morning shift of up to two hours is usually possible.
Work already started on a single pack
For a tender pack review, once we have begun the completeness pass, the quoted fee for that pack is earned even if you later decide not to submit. You may still receive the findings note for the work done. We will not refund because a buyer’s timetable moved, unless we missed an agreed delivery time in the engagement note.
How to ask
Write to intake@querysignal-core.digital with the engagement date, the invoice number, and whether you want a refund or a moved day. You may also hand a letter to the Klang desk. We confirm in writing.
How money comes back
Refunds are paid by bank transfer to the account that paid us, within fourteen working days after we accept the request. We do not refund in cash. If a third party paid the invoice, we return the money to that party unless you both instruct otherwise in writing.
Exceptions
If we cannot perform because of illness or a conflict discovered after intake, you receive a full refund of sums paid for work not delivered, and we help you collect the papers. Statutory rights you have under Malaysian law are not limited by this page.
