Supplier files that age on the shelf
Vendor registration applications are treated as a one-time gate. The copies inside them keep ageing after the code is opened.
A supplier registration application is often the most neglected procurement file in a company. It is completed in a rush so that an order can be raised. Years later the same PDF is still attached to the vendor master. Insurance has lapsed. The bank letter names an account that was closed. A director listed as signatory has resigned.
When we review onboarding packs for firms in the Klang industrial belt, the pattern is steady. Statutory copies were valid on the day they were taken. Nobody owned a diary reminder. Procurement assumed finance would notice; finance assumed procurement kept the file live.
A practical repair is not a new portal. It is a dated checklist, a named owner, and a rule that no purchase order is released against a registration older than the period you actually mean — twelve months, twenty-four, whatever you will defend. The application then becomes a living file instead of a souvenir of the first order.
